Client portals
A private login where your customers see their project, sign or upload documents, check status, and message your team, instead of calling the office to ask where things stand.
ROM Florida builds custom software for businesses in Fort Myers and across Southwest Florida: client portals, CRMs, order systems, and field apps built around the way your team already works. If you’re running your business out of spreadsheets, sticky notes, and three apps that don’t talk to each other, that’s usually the sign. Custom software development pays off when the off-the-shelf tools can’t keep up with how you actually work.
Most projects fall into one of five types. Many businesses need two of them working together.
A private login where your customers see their project, sign or upload documents, check status, and message your team, instead of calling the office to ask where things stand.
A custom CRM shaped around your sales process: your pipeline stages, your fields, your follow-up rules, and the reports your managers actually read.
Orders, customers, payments, and order emails in one place, across one location or several.
Online payments, receipts, and account history for your customers. We use your processor's own secure card fields, so card numbers go straight to the processor.
Phone apps your crew uses on site to fill in reports, take photos, and send a finished PDF to the office before they leave the driveway.
Choosing the right tool
We set up off-the-shelf tools for a lot of our clients, and for most businesses that's the right place to start. A good CRM, a booking tool, and a solid website cover a lot of ground. Custom software makes sense when one of these is true:
If none of those sound familiar, we'll tell you so on the call and point you to the tool that fits.
Here's the part most software projects get wrong: you sign off on a written spec, then see the real thing months later, and it isn't what you pictured. We work the other way around.
We talk through how work moves through your business today, where it gets stuck, and who needs to see what.
Before we write production code, you get a working demo of your actual screens, filled with examples from your own business. You click through it, show your team, and mark up what's wrong.
We build the parts you approved, test each one, and move your existing records over so nobody starts from a blank screen.
Your team gets a walkthrough, and we stay close during the first weeks while real use shakes out the small stuff.
We host the software, keep it updated and backed up, fix what breaks, and keep adding to it as your business changes.
We don't just recommend custom software. We build it, and our own team runs on it.
Our sales team uses a CRM we built: leads, a deals pipeline, follow-ups, and team activity, connected to the website it sells for.
A system that tracks orders, customers, and payments across all three stores. We maintain it, and in October 2026 we moved it onto a current, supported platform.
Inspectors complete reports and photos on their phones; the office tracks open items by property, and each report goes out as a branded PDF. We've loaded 900+ past reports and 10,000+ photos from the old system into it, and it's in testing ahead of launch.
Homeowners will see their project, contracts, and next steps behind their own login. A working preview is with the client for review.
Want to see something closer to your industry? Ask on the call and we'll walk you through a demo.
Custom software pricing depends on how many screens and user types you need, how many other systems it has to work with, and how much existing data has to move over. That's why we don't publish a price list. A number without a scope behind it wouldn't mean much.
What we can tell you is how it's usually structured: a build fee, plus a monthly plan that covers hosting, security updates, backups, fixes, and ongoing improvements. Software is never really "done," and the monthly plan is what keeps it working as your business grows.
It depends on scope. The clickable demo comes first and moves quickly, because changing a demo is cheap and changing finished code isn't. The build timeline goes in writing once you've approved the demo.
You do. Once the build is paid in full, the custom code we wrote for you is yours. We keep the reusable building blocks we use across projects, and you get a permanent license to them, so the software is yours to keep running, with us or elsewhere. Your data is yours too, and you can export your records and files at any time.
Usually, yes. We connect custom software to your website forms, email, and the other tools your team relies on wherever those tools allow it. We'll confirm each connection during discovery, before you commit to a build.
No. Plenty of clients keep their existing CRM and add a client portal, field app, or reporting tool next to it. We'll only suggest replacing something when it's costing you more than it saves.
Every user gets their own login and only sees what their role allows. We also keep backups and monitor the system for problems. For payments, the processor's secure card fields collect the card numbers, so your server never stores them.
The monthly plan keeps us on the hook after launch. When something needs changing, you tell us, and we handle it. Most clients keep adding features as their team uses the software and finds the next bottleneck.
